Frequently asked questions
What is WBSync?
WBSync is a labour-tracking and earned-value management platform for construction contractors. It imports your WBS, tracks hours against cost codes via a mobile PWA or any clock-in system, and reports S/E Ratio (Spent vs Earned), Schedule Performance Index (SPI), Cost Performance Index (CPI) and Estimate at Completion (EAC) in real time, in line with PMI and ISO 21508.
How is WBSync different from our competitors?
Most labour-tracking and field-tools platforms give you "earned hours" and a mobile UX but stop short of full PMI/ISO 21508 EVM. WBSync reports S/E, SPI, CPI, EAC, ETC and TCPI by the book, while keeping the mobile-first foreman UX and adding an open inbound clock-in API so any time-clock vendor can push events. Pricing starts at €249/mo (up to 30 operatives) with a free 30-day trial and unlimited PM seats — versus enterprise contracts elsewhere.
Can I use my existing clock-in system?
Yes. WBSync ships built-in adapters for Workflow Infinity, Deputy, ClockShark, QuickBooks Time, Connecteam and Hubstaff, plus an open inbound endpoint at /api/v1/clock-events/ingest/ secured by a shared-secret header — biometric kiosks, RFID readers and any other system that can make an HTTPS POST will work. Native PWA crew-clock is also available for foremen on site.
How do I import my WBS and BOQ?
Two options. Download the WBSync XLSX template (4-level WBS + mandatory BOQ headers: Activity, Tendered Qty, Hours Total) and upload, or upload your existing WBS file and WBSync will detect headers using the same regex strategy as our generator script. Variation orders, cost codes and trade splits import in one shot. Re-import anytime to update budgets and add rows — WBSync matches existing activities by cost code and archives any removed rows so no logged hours are ever lost.
Is there a free tier?
Yes — every new account gets a free 30-day trial with up to 30 active operatives, full WBS, mobile crew log and basic reports. No credit card required. After 30 days the account auto-locks if not licensed (your data stays safe). Paid tiers: Field €249, Team €499, Pro €1,299, Business €2,999, Enterprise €4,999+. All tiers include unlimited PM, foreman, QS and admin user seats.
What KPIs does WBSync report?
S/E Ratio — Spent vs Earned (earned hours ÷ spent hours; ≥1 means you're earning faster than you're spending), SPI (EV ÷ PV), CPI (EV ÷ AC), Cost Variance (EV − AC), Schedule Variance (EV − PV), Estimate at Completion (EAC), Estimate to Complete (ETC), To-Complete Performance Index (TCPI), Performance Factor (PF), and Earned Schedule (ES, AT, SV(t) and SPI(t)) — the PMI ES method applied to measure time-based schedule slippage independently of cost. All values follow PMI / ISO 21508 conventions.
Can I build my own reports and dashboards?
Yes. Pro, Business and Enterprise plans include Report Studio, a custom dashboard builder. Assemble live dashboards from a catalog of measures, dimensions and filters, write your own sandboxed formulas (for example earned hours ÷ spent hours), choose from 13 chart types, drill through to the underlying entries, apply conditional formatting and prior-period deltas, and export any widget to PNG or CSV. Eight starter dashboards ship ready to use.
Does WBSync support single sign-on (SSO)?
Yes. WBSync supports SAML 2.0 and OpenID Connect, with step-by-step setup guides for Okta, Microsoft Entra ID (Azure AD), Google Workspace and OneLogin. SSO is included on Business and Enterprise and available as a paid add-on on Field, Team and Pro. Just-in-time user provisioning, enforce-for-everyone-except-the-owner, an owner password fallback, and an audit log of every sign-in are all built in.
Can I control who sees rates, costs and approvals?
Yes. Every account ships with nine built-in roles — Owner, Admin, PM, Planner, Engineer, Commercial/QS, Supervisor, Foreman and Operative — plus a custom role editor that lets you compose your own roles from 26 granular permissions, from viewing €/hr rates to approving hours or managing your team. Roles can be scoped to a single project, and every change is written to an immutable audit log.
How flexible is billing?
Pay monthly or annually (annual prepay is 20% off — just over two months free), in EUR, GBP or USD, by card or SEPA. Change tier in-app with a live proration preview before you confirm, and add operative packs mid-cycle when a project scales past your plan's cap — prorated to your billing date. Cancel or resume directly from Settings → Billing — no need to visit the Stripe portal. If a payment ever fails, WBSync retries and emails you before anything is restricted, and your data stays exportable. Every plan change and cancellation triggers a receipt email to your billing contact.
What if a payment fails?
WBSync gives you time to fix it — never an immediate lockout. When a renewal fails, you keep full read/write access during a grace period of about a week (the "past-due" state) while the charge is retried and you receive a one-click fix-it email. If it stays unpaid, the account steps to read-only (view and export, no new writes) and, roughly a week after that, to billing-only. Your data is preserved throughout. The moment you update your payment method, access is fully restored within about a minute — every hour, diary entry and report exactly where you left it.
How does VAT work for EU customers outside Ireland?
Add your VAT number on the Stripe Checkout page when you subscribe. WBSync applies the EU reverse-charge automatically: you pay €0 VAT, and your accountant handles the reverse-charge entry on their side. UK customers are charged 20% VAT (or 0% with a valid UK VAT number under reverse-charge rules). Every charge produces a PDF invoice with your company name and VAT number on it — downloadable from the billing portal or auto-forwarded to your accountant's email address.
Can I manage multiple companies from one login?
Yes. One WBSync login can belong to multiple company accounts — useful if you consult across several contractors or manage separate subsidiaries. Use the company switcher in the navigation to flip your active company; your dashboard, projects, roles and permissions all switch with it. Each company is fully isolated: billing, SSO config, operatives and project data never cross tenant boundaries. Your primary (home) company is set at signup and used as a fallback.
