Notifications and web push: stay on top of approvals

4 min read · Updated 28 Jul 2026

The notification bell keeps every role on top of what needs them — approvals waiting, plans shared, claims certified, reports ready. Tune it per category (in-app, push, email), switch on a daily approvals digest, set quiet hours, and subscribe your phone for Web Push so the queue reaches you even with the app closed.

The bell and the inbox

The bell in the top bar shows your unread count and updates live — no refresh needed. Click it for the latest items, or open the full inbox at Notifications to page through everything, filtered by category or unread-only. The inbox is available to every role, operatives included.

What you get notified about

Notifications are grouped into seven categories, and each is tuned independently:

  • Approvals — entries waiting on you, clashes that block approval, clawbacks
  • Plans — daily plans shared with you
  • Claims — submitted, certified, paid
  • Variations — VOs submitted, approved or rejected
  • Reports — a generated report is ready (or failed)
  • Billing — trial ending, payment past due (admins)
  • System — invites accepted, role changes and the like

Tune it in Settings

1
Open Settings → Notifications

The grid shows one row per category with three switches: In-app, Push and Email. Everything is on by default — switch off what you don't want. No row is ever required; the bell keeps working for whatever stays on.

2
Daily approvals digest

Approvers can enable a once-a-day email summarising everything still waiting for sign-off — one email instead of a ping per entry. Toggle it on the same page.

3
Quiet hours

Set a start and end time and WBSync holds push and email during that window. In-app notifications still land in the bell — quiet hours silence your devices, not your inbox.

Web Push on your phone or desktop

Enable push from Settings on any device and notifications arrive even when the app is closed — ideal for foremen with the PWA installed. You can subscribe multiple devices (up to 20 per account; the oldest rotates out). Signing out unsubscribes the device, so a shared site phone never keeps pinging the previous user.

Quiet hours never hide anything. They only delay the interruption channels (push and email). Whatever happened overnight is waiting in the bell and inbox in the morning.
The digest respects your preferences too — if you've switched Approvals email off, the digest won't email you either.

Frequently asked

Do notifications update live, or do I have to refresh?

Live. The bell is connected over a WebSocket and updates the moment a notification is created, with a background poll as fallback on flaky connections.

What do quiet hours suppress?

Push and email only, during the window you set. In-app notifications always land in the bell and inbox, so nothing is lost — just not pushed to your devices overnight.

How do I get notifications on my phone when the app is closed?

Enable Push in Settings → Notifications on that device (works best with the PWA installed). Web Push delivers through the browser even when the app isn't open.

I share a site phone with another foreman — will they get my notifications?

No. Signing out unsubscribes that device from push, so notifications follow the signed-in account, not the handset.

Can I get one daily email instead of a ping per pending entry?

Yes — enable the daily approvals digest in Settings → Notifications. It sends a single summary of everything still waiting for your sign-off.

Are notification preferences per user or per company?

Per user. Every person tunes their own grid, digest and quiet hours; admins cannot override another user's preferences.
